These terms are the contract between you and Chronix Health Group Ltd for the use of Chronix Scribe. Please read them before you subscribe. Clause 7 explains how to cancel and clause 8 how to get a refund.

1. About us and these terms

1.1 Chronix Scribe is provided by Chronix Health Group Ltd, a company registered in England and Wales (company number 16663224), registered office 11-13 Upper High Street, Epsom, Surrey, KT17 4QY. We are registered with the Information Commissioner's Office under registration number ZB962513. In these terms "we", "us" and "our" mean Chronix Health Group Ltd.

1.2 "You" means the person who creates the account and, where the account belongs to a practice, clinic or other organisation, that organisation. The person who creates an organisation is its owner; people the owner invites are members.

1.3 Chronix Scribe is made for healthcare professionals and their practices, acting in the course of their business or profession. If you use it as a consumer (outside your trade, business or profession), you keep every right consumer law gives you and nothing in these terms takes those rights away.

1.4 These terms work together with:

1.5 Contact: support@chronixhealthgroup.com. Complaints: complaints@chronixhealthgroup.com (see clause 18).

2. What Chronix Scribe is, and what it is not

2.1 Chronix Scribe is a documentation support tool. With the consent of everyone present, it listens to a consultation, turns speech into a written transcript, and drafts a clinical note from what was said. Each statement in the draft links back to the words in the transcript it came from. Every note stays a draft until the clinician reviews, edits and signs it.

2.2 The AI in Chronix Scribe records diagnoses, medicines, doses and plans only when they were explicitly stated in the consultation. It never originates a diagnosis, differential diagnosis, treatment option, risk score or calculation. Every AI-drafted note carries the label "AI-generated: review before signing". The AI transparency statement explains this in full.

2.3 Chronix Scribe does not give medical advice, is not a medical device, and does not replace clinical judgement. The signing clinician is responsible for the content of every note they sign and for every clinical decision.

2.4 Audio is never stored on our servers or by any provider. Speech is transcribed in memory and in transit; only the written transcript and the notes are kept. The optional offline mode of the Chronix Scribe mobile app (when the mobile app is released) holds audio encrypted on the clinician's own device only until it has been transcribed, and then deletes it.

3. Your account

3.1 You must be a healthcare professional, or a person authorised by a healthcare organisation. The details you give at sign-up (including profession and registration details you choose to give) must be true and kept up to date.

3.2 Keep your sign-in details secret and tell us straight away at support@chronixhealthgroup.com if you think someone else has used them. You are responsible for what happens under your account unless it happened because we failed to keep the service secure.

3.3 The owner of an organisation controls its plan, its members and its data, including exporting and deleting it (clause 10).

4. Plans and prices

4.1 The plans, what each includes, and their prices are shown on our pricing page and again at checkout before you pay. The prices at the date of this version are set out in Schedule 1. All prices are in pounds sterling and are the total you pay.

4.2 Free plan. Every organisation can use Chronix Scribe on the free plan, which includes 20 signed notes a month for the organisation. Unused notes do not carry over.

4.3 Free trial. A new organisation gets a 14-day trial of all features. When the trial ends the organisation moves to the free plan automatically unless you have chosen a paid plan. We never start charging you at the end of a trial unless you chose a paid plan and confirmed it at checkout.

4.4 Paid plans are monthly subscriptions. Payment is taken by our payment processor, Stripe, when you subscribe and then on the same day each month. We never see or store your full card details.

4.5 Receipts. We email a receipt for every payment, and every receipt is listed in Settings → Billing with a PDF copy.

4.6 Referral programme. Your organisation has a referral code in Settings → Referrals. When another organisation redeems your code and then pays its first paid invoice for a Chronix Scribe plan, each of the two organisations receives £20 of account credit, applied to its future Chronix Scribe invoices. The rules:

5. Before you subscribe

Before you confirm a paid plan, checkout shows you: the plan and add-ons, the total price and how often you will be charged, that the subscription renews automatically each month until you cancel, how to cancel, and our refund policy (clause 8). Your subscription starts when you confirm checkout, and we email you a confirmation with the same information.

6. Renewal and reminders

6.1 Your subscription renews automatically every month at the price then in force until you cancel.

6.2 We send reminder notices by email to the owner's address:

Each reminder is sent at least 3 and no more than 14 days before the payment it relates to, and tells you the price, the date of the payment, and how to cancel.

7. Cancelling

7.1 You can cancel at any time from Settings → Billing in the app. You do not need to contact us and there is no cancellation fee. We email you to confirm the cancellation and the date it takes effect.

7.2 Cancellation takes effect at the end of the current billing period. You keep the paid features until then, after which your organisation moves to the free plan. Your notes and data stay available on the free plan; cancelling does not delete anything.

7.3 If you are a consumer you also have a statutory right to cancel within 14 days of subscribing. Our refund policy in clause 8 gives you at least as much.

8. Refunds

8.1 You can ask for a full refund of any subscription payment within 14 days of the date it was taken (the first payment or any renewal), with no reason needed. Use the refund option in Settings → Billing or email support@chronixhealthgroup.com. The refund goes back to the card or account you paid with, normally within 5 to 10 working days.

8.2 A refund ends the paid plan on the day it is made; your organisation moves to the free plan and keeps all its data.

8.3 After 14 days we do not refund the billing period in progress, but you can cancel so that you are not charged again.

8.4 Nothing in this clause affects your rights if the service is faulty or not as described.

8.5 Our AI support assistant (clause 12.3) may make a refund itself when an organisation admin asks for one that falls within clause 8.1. Any other refund request, including one outside the 14 days, goes to a person, who decides it under this clause.

9. Price changes

We will give the owner at least 30 days' notice by email of any price increase. The new price applies from the first payment after the notice period. If you do not want to pay it, cancel before then.

10. Your data

10.1 You own your content: transcripts, notes, summaries, documents, images and everything else you or your patients provide. You give us the right to process it only to provide Chronix Scribe to you, as set out in the data processing agreement.

10.2 We do not sell your data, and we do not use your patients' information, your transcripts or your notes to train AI models or for marketing.

10.3 Export, always free. The owner and every member can download a complete JSON export of everything their sign-in can read, at any time and on every plan, from Settings → Data management.

10.4 Deletion and restore. You can delete a visit, a patient, your account (if you are the only member) or the whole organisation (owner only) from Settings → Data management. Deleted records can be restored for 30 days and are then removed permanently. Deleting the organisation removes every member's account.

10.5 At the end of the contract we return and delete your organisation's data as set out in clause 11 of the data processing agreement.

11. Your responsibilities

11.1 Before each capture, tell everyone present that Chronix Scribe will listen to help write the note, that no recording is kept, and ask for their agreement. The app will not capture until you confirm consent. The consent script library has the words to use.

11.2 Review every draft and correct it before you sign it. Check the source links for any diagnosis, medicine, dose or plan.

11.3 Keep your patient records in line with your professional and legal obligations. Chronix Scribe helps you write them; it does not replace your practice's records system unless you decide to use it that way.

11.4 Follow the acceptable use policy.

12. The service

12.1 We aim to keep Chronix Scribe available at all times but cannot promise it will never be interrupted, for example for maintenance or because of problems with providers we rely on. We will tell you in advance about planned maintenance that could affect you.

12.2 We improve Chronix Scribe continually and may change features. If we make a change that significantly reduces what a paid plan includes, we will tell the owner at least 30 days in advance, and you may cancel and receive a refund for any unused part of a period you have paid for.

12.3 Support is answered first by AI. The support chat and email to support@chronixhealthgroup.com are answered first by an AI assistant that answers from our help centre. Do not send patient details: a message that contains them is refused and not stored. The assistant can make a refund under clause 8.5, and you can ask for a person at any time. A person reviews every email reply before it is sent.

13. Intellectual property

13.1 We (and our licensors) own Chronix Scribe, its software, templates and design. We give you a non-exclusive, non-transferable right to use it for your organisation's work while your account is open. If you send us feedback, we may use it without any obligation to you.

13.2 Community templates. If you share a template with the community, you keep ownership of it and give us and every other Chronix Scribe user a free, non-exclusive, worldwide licence to use, copy and adapt it within Chronix Scribe. You can withdraw it at any time; copies others have already installed stay with them. A shared template must contain no patient information and nothing you do not have the right to share. We may remove a shared template at any time, for example if it breaks this clause or the acceptable use policy.

14. Confidentiality and security

We keep your content confidential and protect it with the measures described in Annex 2 of the data processing agreement and on the trust and security page.

15. Our liability to you

15.1 Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else the law does not allow us to limit or exclude.

15.2 Chronix Scribe drafts documentation; clinical judgement stays with the clinician. We are not responsible for clinical decisions, or for the content of a note once a clinician has reviewed and signed it.

15.3 If you are a business customer: we are not liable for loss of profit, revenue, business, goodwill or anticipated savings, or for any indirect or consequential loss; and our total liability to you in any 12-month period arising from or in connection with these terms is limited to the greater of the amount you paid us in the 12 months before the event giving rise to the claim and £100.

15.4 If you are a consumer: we are responsible for loss or damage you suffer that is a foreseeable result of our breaking these terms or failing to use reasonable care and skill, but not for loss that was not foreseeable.

16. Suspending or ending the contract

16.1 You can end the contract at any time by cancelling (clause 7) and, if you wish, deleting your organisation (clause 10.4).

16.2 We may suspend or end an account if it is used in serious or repeated breach of the acceptable use policy, if payment is not made after reminders, or if the law requires it. Unless the breach is serious or the law prevents it, we will give you notice and a chance to put things right first.

16.3 We may end the service for everyone, or stop offering it in your country, by giving the owner at least 90 days' notice, and we will refund any payment for a period after the end date.

17. Changes to these terms

We may update these terms, for example when the law or the service changes. Each version has a version number. We will email the owner about material changes at least 30 days before they take effect, and the app will ask you to review and accept the new version the next time you sign in. If you do not agree, you can cancel before the change takes effect.

18. Complaints

If something has gone wrong, tell us using the complaint form or by email to complaints@chronixhealthgroup.com. We acknowledge every complaint with a reference and reply in full within 10 working days.

19. General

19.1 These terms, the acceptable use policy and the data processing agreement are the whole agreement between us about Chronix Scribe. If they conflict on data protection, the data processing agreement wins.

19.2 We may transfer our rights and obligations to another organisation that takes over Chronix Scribe, and will tell you if we do; your rights under these terms will not be reduced. You may transfer your organisation's account only with our written agreement.

19.3 Nobody else has any right to enforce these terms under the Contracts (Rights of Third Parties) Act 1999.

19.4 If a court decides that part of these terms is unlawful, the rest stays in force. If we do not insist straight away that you do something, we can still insist later.

19.5 These terms are written in English. If Chronix Scribe shows them, or any of its screens, in another language, the English version of these terms applies.

20. Law and courts

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If you are a consumer living in Scotland or Northern Ireland, you may also bring proceedings in your local courts, and the mandatory consumer protections of your local law still apply.

Schedule 1: Plans and prices at version 2026-18

Each paid seat includes 60 hours of audio a month. Hours beyond that are £1.50 an hour and are added to your next invoice. We email you at 80% and at 100% of the included hours. We never stop the service because you have used more.
